Getting started is simple and we walk you through every step:
Step 1 — Sign up & Free Trial. Create your personal account and register your musical group to explore every tool with no commitment. You'll be the main administrator.
Step 2 — Initial Setup. Open the settings panel to customize your band's profile — its crest, available instruments, and general rehearsal details.
Step 3 — Data Upload. Add musicians manually or use our free migration service: send us an Excel with your musicians' details and we'll register them all for you. For scores, just upload your repertoire to Cecilia, our music AI: she reads each file, identifies which instrument each page belongs to, and automatically distributes the right part to each musician.
Step 4 — Member Organization. Choose between registering musicians with an account (full access to their material from the app) or without an account (purely internal management by administrators). You can customize the names of instruments or roles shown in the musician's profile — e.g. "Assistant Director" or "Archivist", with the exact title for each role.
Step 5 — Permissions & Privacy. You decide who sees what. Configure specific permissions to determine which users access scores, who can view or edit calendar events, and who has restricted information. You can assign one person exclusively to take attendance at rehearsals, and another with permissions only to upload and organize the repertoire.
Step 6 — All set! Add your upcoming rehearsals and performances, invite your musicians, and start receiving real-time attendance confirmations.
To register a musician, simply fill in the email address field. If they already have a Melodistic account, they'll be added to your group automatically. If not, the system will email them an invitation to register and join the band.
If you prefer a musician to have no app access and only want their data for administrative purposes, leave the email field empty. They'll appear in your list but won't receive an invitation or have their own account.
Yes, the platform is flexible and you can configure it to your band's needs. However, keep these rules in mind:
The basic pillars: Your workspace must have at least one of the two main modules active: Calendar or Music library. The other modules (Inventory and Commitment system) are optional and can be turned on or off as you like.
Dependencies between modules: The Commitment system needs attendance data from the Calendar to compute performance. So if you disable the Calendar, the Commitment system can't be used.
Free plan (up to 20 musicians): On the free version you get exclusive access to the Calendar and Commitment system modules. The rest of the advanced features and modules are reserved for paid plans.
